Exhibition General Information

Exhibit Space
All booths are 2700 mm wide x 1500 mm depth x 2100 mm high.
Booths can conect each other.
When the floor space of an irregular type is hoped, the Space Rental Fee based on the area of booth is charged.

Space Rental Fee

1 booth is JPY 100,000 (approx. USD 800).
A deposit in the amount of JPY 50,000 for each booth requested must accompany the application for space. The balance due on the cost of space assigned must be paid on or before July 15th, 2008.

Exhibition Application Submission

Please fill Exhibition Application Form and send it by E-mail or regular mail by June 15th, 2008 . You will receive an E-mail confirmation and the document to which the rule and the payment method are written, when the Symposium Committee accepts the Exhibition Application Form.

Rules & Regulations

The Organizing Committee reserves the right, in its sole discretion, to accept or deny applications for exhibit space and to allocate space among exhibitors. By applying for exhibit space, an exhibitor agrees to adhere to all conditions and regulations outlined below. Conformity with these Rules and Regulations for this Symposium will be monitored by the Organizing Committee.

Each exhibitor is granted nothing more than a terminable license to exhibit, subject to all the rules herein. If it is decided that an exhibitor has failed to comply with any rule the license may be terminated and the exhibit closed without notice. In all interpretations of the Rules and Regulations, the Organizing Committee's decision is final.

Space Assignment
Space assignment will be made until August 7th, 2008. Whenever possible, space will be allotted according to the exhibitor's choice, but the final arrangements will be determined by the Organizing Committee in a way that produces the most advantageous grouping of the exhibits. The Organizing Committee shall have no liability if the space location assigned is not as requested.

Late Applications
Applications received after August 7th, 2008 deadline would be listed in the Meeting Addendum and this Web Site.

Installation of Exhibits
September 13th, 9:00 AM - 1:00 PM

A labor crew will be available. All exhibit material must be unpacked by 12:00 PM, September 13th, to permit the removal of empty crates and cartons from the exhibit area. No refuse, such as empty cartons, may be placed in the aisles after the final sweeping of the aisles in the exhibit area. Exhibitors are urged not to litter the floor in the booths or aisles after the cleaning of the exhibit area.

Crate Storage
Empty crates, boxes and cartons must be removed from the exhibit area by 12:00 PM, September 13th. These materials should be nested as much as possible. "Empty" stickers, which must be placed on all containers to be stored and returned at the close of the exhibit, will be available at the Exhibitor Service Desk. Containers or skids without the "Empty" stickers will be considered refuse and disposed of. Crates, boxes and cartons may not be stored behind booth backgrounds. Do not store anything of value in crates going into storage.

September 14th, 10:00 AM - 5:30 PM
September 15th, 9:30 AM - 4:30 PM

Security tape placed around the exhibits will be removed starting at 15 minutes before the opening time. As a courtesy to the participants and your fellow exhibitors, it is requested that you open your exhibit on time and staff it throughout the day until the scheduled closing hour. Deliveries or removal of equipment must be made before or after exhibit hours. A pass must be obtained from the Organizing Committee to remove any material or equipment prior to September 15th, 4:00 PM. Once the exhibit opens, nothing may be removed until the exhibit is officially closed.

Exhibit Dismantle
September 15th, 4:30 PM - 6:00 PM
September 16th, 9:00 AM - 1:00 PM

No packing of equipment, literature, etc., or dismantling of exhibits will be permitted until the official closing time. Violators will not be invited to exhibit at future meetings. All exhibits must be packed by 1:00 PM, September 16th.

General Conduct of Exhibits
The following practices are prohibited:
 1. Noisy electrical or other mechanical apparatus interfering with
 other exhibitors.
 2. Operation of x-ray equipment.
 3. Canvassing or distributing any material outside the exhibitor's own space.
 4. Sub-leasing of exhibit space.
 5. The use of billboard advertisements and/or the display of signs outside the
 exhibit area.
 6. Publicizing and/or maintaining any extracurricular activities, inducements,
 demonstrations or displays away from the exhibit area during the exhibit hours.
 7. Photographing, video taping, or examining another exhibitor's equipment
 without permission.
 8. Balloons of any kind.
 9. Entry into another exhibitor's booth without permission.
 10. Dismantling exhibits and leaving before official exhibit close at 4:30 PM,
 September 15th.

Exhibitors are requested to staff their exhibits with personnel attired in a manner consistent with the decorum of the meeting and knowledgeable in the products and policies of the company. Relevant portions of the foregoing prohibited practices are applicable to non-exhibitors at all times. Non-exhibitors may not solicit business from scientific registrants or companies exhibiting.

The use of open audio systems is discouraged. Requests to use an open audio system must be approved by the Organizing Committee and the exhibitor must agree to discontinue its use if the sound level is deemed to be objectionable to the registrants or adjacent exhibitors.

Use of Animals
The use of live animals, photographs and other forms of visual display of surgery being performed will not be permitted in exhibit booths.

Distribution of Giveaways
Exhibitors will be permitted to distribute appropriate promotional material and approved related items from the exhibit booth only. Exhibitors distributing any material outside the booth will not be invited to exhibit at future meetings. In keeping with the educational purpose of the exhibit program, all such giveaways except literature, must have prior approval of the Organizing Committee and must conform to acceptable and professional standards.

Please contact the Symposium secretariat beforehand enough at the above-mentioned time the setup of the exhibition equipment.

Cancellation or Reduction

Notification of an exhibitor's decision to cancel or reduce space must be made in writing. The effective date of space cancellation or reduction will be the date on which a written notice is received by the Organizing Committee.

The Organizing Committee will subtract the following alteration charges and the wire-transfer fee from the Space Rental Fees, and refund to the specified bank account.

<Alteration Charges>
until June 30th, 2008 : 20% of the Space Rental Fees
July 1st - August 7th, 2008 : 50% of the Space Rental Fees
since August 8th, 2008 : 100% of the Space Rental Fees

When the cancellation occurs starting Augsut 8th, 2008 to the opening of the meeting, the company will be responsible for paying the full cost of the booth space.

Sub-Leasing

Sub-leasing of exhibit space is not permitted. Neither may two companies share the same leased space.

Security
Booth security and the protection of all equipments and items may require additional security at the exhibitor's own expense. Example: Damage and loss of equipment and item due to event and accident during transporting, carrying, setting up, and removing and carrying it out. Damage and loss of equipment and item due to event and accident during exhibits open. Damage and loss of equipment and item due to natural disaster, and theft, etc.
